Job Description

Responsible for efficiently and accurately uploading contracts into Colt system (Ariba).  The role requires attention to detail, organizational skills.  The ability to work within established procedures to ensure the integrity and completeness of contract data.

 

  1. Data Entry: Accurately input contract information into the designated system while ensuring data integrity and completeness.
  2. File Management: Organize, upload and maintain digital copies of contracts for reference in Ariba system with accurate labelling.
  3. Quality Assurance: When needed, perform quality checks on contract data to identify and rectify any errors or discrepancies if required.
  4. Compliance: Ensure that all uploaded contracts comply with company policies, and legal requirements where needed.  For instance, a contract not signed by both parties is not compliant or legally complete.
  5. Communication: Collaborate with relevant stakeholders, such as those listed in the Relationships and key contacts, to clarify any ambiguous contract details and obtain necessary information for an accurate upload.
  6. Documentation: Upload records of additional information, support contracts, for instance  key emails in relation to the contract, letters of Authorities (LOA), and any other relevant modifications made during the contract phase.  To be stored in Documents section of Ariba.
  7. Milestones and Reporting : Periodically update on the progress against milestones set.
  8. Process Improvement: Suggest any opportunities to streamline the contract data upload process, improve data accuracy, and enhance overall efficiency.
  9. Regulations: Engagement and participating on projects relating to contract regulations.

 

 

 

Skills & Expierence

  • Proficiency in data entry and information management.
  • Excellent attention to detail and accuracy.
  • Strong organizational and time management skills.
  • Familiarity with contract management in Ariba system or similar software (training will be provided if necessary).
  • Basic understanding of contract terminology and legal concepts as well as compliance.
  • Ability to communicate effectively with internal stakeholders.
  • Problem-solving skills and the ability to work independently.
  • Previous experience in data entry, administrative support, or contract management roles is beneficial.
  • Advanced Excel.
  • Ability to work towards deadlines set.
  • Project Management related skills.

Qualifications

Bachelor’s degree in Information Technology or a related equivalent required such as additional education or certification in Data management or related fields.
