Why we need this role
As a part of the HR initiative, the Global HR Services was rolled out with the intent to act as a single point of contact for all HR related queries / issues / requests and provide a standard service, equal quality and consistent employee experience across Colt.
Provides operational support to HR teams and employees across all Colt countries.
Respond to first line employee and manager queries on HR processes (e.g. relating to absence, performance management and other life cycle events).
What you will do

Own and deliver a range of HR processes within Global HR Services, managing employee lifecycle queries received via email, phone, and online channels through to full resolution.

Coordinate onboarding activities and manage employment changes.

Enter and validate employee data in the HR system, ensuring high data quality through regular checks.

Resolve HR system–related queries and requests, tracking each case until closure.

Support the creation of employment documents such as invitation letters and employment certificates.

Maintain high-quality standards across all deliverables and consistently meet process and service SLAs.

Draft, publish, and communicate clear documentation on HR policies and process definitions.

Keep HR content on the company intranet up to date to ensure employees have access to accurate information.

Collaborate closely with the HR community to tailor solutions, tools, and support.

Serve as a functional reference for HR systems: understand system capabilities, manage dependencies, support releases/updates/testing, and provide user training.

Act as a subject matter expert on HR processes, systems, and policies, advising HR colleagues and the wider business.

Develop data layouts, including tables, charts, graphs, and process flow diagrams, and produce reports aligned with business needs.

Support payroll, background verification, and audit activities by providing required data and explanations.

Manage the end-to-end background screening process and ensure adherence to established procedures.

Drive continuous improvement, standardization, and automation of HR processes, collaborating with HR teams (especially HRIS) to enhance the employee experience.

Support the HR community on major recurring and ad‑hoc HR projects, including pay review, performance review, system updates, and reorganization initiatives.
What we’re looking for

Proven customer support experience in a global environment, ideally within HR.

Previous experience in an HR role.

Strong sense of confidentiality, responsibility, and professional integrity.

Excellent organizational skills with the ability to manage multiple tasks simultaneously.

Comfortable collaborating with diverse, international stakeholders.

Solid understanding of HR processes and the broader HR field.

(Desired) Experience with HR systems such as SuccessFactors.

Strong IT and technology affinity, with interest in using digital tools to enhance business value.

Proficient in MS Office (Word, Excel, PowerPoint) and confident adopting new systems and tools.

Strong analytical and reporting capabilities.

Team-oriented, service‑minded, and detail‑focused.

Excellent verbal communication and interpersonal skills.
-
MS Office proficiency, especially Excel at medium/advanced level.

Fluency in English and German.
