This is a year maternity contract.

Why we need this role

As a key member of the Global HR Services team, your role is pivotal in supporting Colt's HR initiative to centralize HR services. Serving as the primary point of contact for all HR-related queries, you will ensure standardized and high-quality service delivery across Colt's global footprint. Your responsibilities include providing operational support, resolving first-line employee and manager queries on HR processes, and collaborating with HR teams to enhance overall service efficiency. By doing so, you contribute significantly to maintaining a positive and consistent employee experience throughout Colt. 

A Global Services Administrator provides first point of contact support to colleagues and customers. They deal with incoming tickets, provide administrative or technical support, or triage the ticket to the appropriate team. As the first point of contact, Global Services Administrators are expected to have strong written and spoken communication skills, the ability to capture and clarify queries, and good organisational skills to manage tickets in line with SLAs and operating procedures.

What you will do

  • As part of Global HR Services, own various Colt’s HR processes and answer queries (received on email, via phone and online) and provide solutions until resolution across employee life cycle. 
  • Handle on-boarding procedures & employment changes 
  • Resolve various HR system queries/requests and track them until resolution.. 
  • Maintain quality standards for all the relevant work and meets process / service SLA’s. 
  • Draft, publish, and communicate adequate documentation on policies and process definition. 
  • Interacts closely with the HR community to tailor solutions and tools, advising and supporting 
  • Act as systems functional maintenance reference: understand system capabilities and dependencies, follow-up and support the regular releases/updates/testing, offers HR users support and training. 
  • Act as Subject Matter Expertise & Advisory on HR processes, HR systems & HR policies, offer support and advice to the HR community members as well as the wider business; 
  • Offer support on payroll, background verification and other audit actions with required data and explanations. 
  • Manage background screening process end to end and monitor adherence to the process 
  • Focus on continuous improvement, standardization and automation of processes) and collaborates with various Teams across HR (especially HRIS) in order to improve HR processes for a better user experience. 
  • Offer support to the entire HR community on the most important recurring and non-recurring projects within HR : Pay review, Performance Review, every system changes and updates, reorganization activities.

What you will do

  • Customer support experience in a global organization (preferably in HR) 
  • Experience in an HR role 
  • High sense of confidentiality and responsibility 
  • Excellent organizational skills and the ability to multi-task. 
  • Dealing with multiple, worldwide stakeholder 
  • Understanding of HR field, processes 
  • (Desired) Exposure to and experience of working on HR Systems like Success Factors 
  • IT & technology skills : IT/IS savvy with a keen interest in leveraging IT/IS functionality to drive business value; 
  • Knowledge in Office suite components (Word, Excel, Power Point etc) and comfortable working in new software/systems (use systems/tools as a real efficiency game-changer) 
  • Good analytical and reporting skills 

 

Qualifications 

  • Graduate in business related studies (preferable although other fields will be considered) 
  • Team player, service-oriented and attention to details. 
  • Excellent oral communication & interpersonal skills 
  • MS Office (Excel – medium/advanced, Word, PowerPoint) 
  • Fluency in English and one other European Language.
