As the Facilities Manager, you will take a central role partnering with in line management and peers to cultivate strong relationships with business leaders, corporate real estate, management, and internal stakeholders at all levels. This ongoing collaboration will ensure that we fully understand their needs, aspirations, and strategic objectives. You will lead the daily maintenance and operations of several sites across EMEA, with a special emphasis on our offices in Spain, France, and Germany and other countries in EU. Your proactive approach will effectively address building maintenance challenges and enhance our vendor and contractor partnerships. The Facilities & Workplace Specialist is expected to take ownership of creating and nurturing an exceptional employee experience that inspires and engages our teams.

What you will do

The primary focus of this role is to enhance and monitor the end-user experience in our office environment while actively supporting the Facilities Management (FM) team across the EMEA region. By actively gathering user feedback and exploring avenues for improvement, we can create a more productive and enjoyable workplace.

 

As the representative of the FM team, the Facilities & Workplace Specialist will play a pivotal role in ensuring a positive experience for both employees and visitors, with particular emphasis on our office in Spain. Responsibilities will include overseeing user and visitor experiences, managing the reception and security desks to provide exceptional service, and fostering a flexible, dynamic workplace that embraces digital transformation initiatives, such as IoT implementation and real-time performance monitoring.

 

To maintain high operational standards, the Specialist will facilitate the efficient resolution of facilities-related tickets with the collaboration of the FM team.

 

Ensure subcontracted services are well-resourced and consistently meet quality requirements is also crucial for success. 

 

The role includes conducting regular site inspections across EMEA, focusing primarily on Spain, France, and Germany. 

 

The Specialist will assist in developing and maintaining emergency plans, fire evacuation procedures, and facility inspections, working closely with Health and Safety representatives to identify and address any hazards or incidents proactively.

Effective inventory management and the strategic procurement of workplace supplies, furniture, and equipment will support the functionality of our offices.

Additionally, the Specialist will contribute to FM projects that involve the transition to Agile working across the EMEA region, including the development of bid specifications, tender processes, and informed recommendations for new contracts. 

 

Financial Management & Budgeting is a key responsibility of this role. The Specialist will aid in the creation and monitoring of the EMEA Facilities team's budget, including project-specific budgets, and will engage in regular dialogues with stakeholders to fully understand their needs.

 

Collaborating with the sourcing team to optimize facilities costs will also be an integral part of the position.

 

Through proactive supervision of cost control and initiatives aimed at improving operational efficiency, the Specialist will challenge conventional practices and advocate for innovative solutions to leadership. This includes engaging with FM service providers regarding cost-effectiveness and quality of service while diligently tracking and reporting expenditures to ensure budget compliance. Moreover, the Specialist will have the opportunity to propose recommendations for enhancing financial efficiency and will actively support office fit-out and renovation projects within their area of responsibility. 

 

Collaboration with various forums, such as sustainability and diversity & inclusion, will further enhance our workplace environment and culture.

What we're looking for

  • Previous experience in a Facility specialized role required.
  • Well-versed in Microsoft Office applications (PowerPoint, Excel, Word, Visio and Outlook) and AutoCAD a plus.
  • Knowledge of or ability to quickly learn technology platforms to support various tasks.
  • Excellent verbal and written communication skills are essential. 
  • Understanding and commitment to client satisfaction. 
  • Demonstrated ability to develop strong relationships with key internal and external stakeholders.
  • English language skills required. German, French, or Spanish a plus.
  • University Degree or equivalent in related discipline a plus.
  • Well organized and resourceful. 
  • Data management experience with an analytical and strategic mindset. 
  • A proven track record of time management and prioritization.
  • Experience with CoStar is a plus.
  • Experience in Facility Management software (CAFM ) platforms like ticketing systems, corrective and preventive maintenance software, desk reservation systems, digital receptions, etc. is a plus.
