Why we need this role

The global service administrator is responsible for providing an efficient and effective transactional and operational HR Service across all aspects of the employee life-cycle. They serve as a main point of contact for both internal and external HR customers regarding employee related queries providing a high level of customer service in a timely manner. 

What you will do

  • Responsible for operational and transactional HR administration tasks as part of the end-end employee life cycle including: drafting contracts of employment, the completion and filing of new hire paperwork, on-boarding responsibilities, health and safety and medical checks, drafting appropriate contractual documentation relating to internal changes/promotion, processing leavers and posting off-boarding paperwork. 
  • Serve as a primary contact and respond to a broad range of general employee related queries that are raised via the  AskHR ticketing system but which also come into the HR Shared mailbox ensuring timely and accurate responses are provided. Refer more complex issues to Team Leaders by way of escalations. 
  • Act as the first responder for urgent or unplanned HR issues. 
  • Maintain accurate and up-to-date employee records, both electronically and in paper format and in compliance with local labour law requirements. 
  • Administer family friendly leave of absence requests such as maternity, paternity, adoption, parental leave etc. 
  • Ensure the processing of visa request letters for employees. 
  • Accountable for data integrity. Manage and maintain employees’ information in the SuccessFactors system, ensuring it is up to date and accurate and ensuring any changes to employee data are reflected in the system accordingly. 
  • Process leaver documentation, confirming all leaving details to employees and payroll. 
  • Ensure HR input tool is updated with accurate information for payroll processing every month and participate in monthly payroll review meetings with the wider HRSS team and payroll team. 
  • Partner with other internal teams where necessary regarding employee queries including Benefits, Payroll, HRBPs, HRIS and referring more complex issues to senior colleagues. 
  • Interact closely with the EMEA HR Manager to undertake specific projects and other ad-hoc tasks to support where necessary. Also interact with hiring managers, recruiters, talent management, rewards and other internal stakeholders where needed.
  •  For PL specific vendors ensure setting up of new suppliers in Ariba, raising purchase orders, ensuring invoices are ‘goods receipted’ against purchase orders and ensuring invoices are processed by Accounts Payable within the agreed payment terms. 
  • Identify and help develop process improvements where necessary. 
  • Keep up-to date with local employment/compliance legislation and update internal LWI’s and instructions.

What we're looking for

  • Relevant experience in corporate environment preferable 
  • Collaborative team worker, high work ethics 
  • Spoken and written English and Polish to a good business standard.
  • Ability to work independently and under own initiative 
  • Strong attention to detail and the ability to prioritise tasks in a fast paced and fluid environment. 
  • Good interpersonal and communication skills 
  • Tact/discretion in dealing with sensitive information. 
  • Advanced knowledge of MS office suite and other key business tools 
  • Knowledge of Time and Attendance and HR systems 
  • Previous experience with SAP SuccessFactors would be a significant advantage and knowledge of HR ticketing systems.
  • Awareness of relevant employment law and local regulations.
